Paper sign-in sheets fail in three ways: they get lost, they can't be searched, and nobody notices a missing signature until an inspector does. KinderConnect records every arrival and departure digitally, with the exact time, the staff member who recorded it, and — at pickup — which authorised guardian actually collected the child.
What we deliberately did not do is automate the check-in away. Many platforms push parents through a tablet PIN pad or a QR scan at the door. We kept attendance as a staff action, because the handover is the one moment each day when an educator and a parent speak face to face. Digitising the record shouldn't cost you the conversation.
What is included
Check-in and check-out with timestamps
Staff mark each child present or departed with a tap. Every event stores the time and the staff member responsible, so an attendance record is never anonymous.
Parent-reported absences
Parents report an absence from their phone before the day starts — with a reason and category — instead of calling the office. Staff see it on the day view immediately.
Absence triage view
An admin screen lists reported absences filtered by date, category, and severity, so a director can see at a glance who is out and why.
Pickup guardian record
Each child carries a list of adults authorised to collect them. The checkout records which one did, producing a custody trail that a signature sheet can't.
CSV attendance export
Export attendance for any period as a spreadsheet for payroll, subsidy reporting, or your own records — no request to support, no waiting.
Why it matters
An attendance record that survives an inspection
Because every check-in and check-out is timestamped and attributed, and every change is written to an organisation-wide audit log, the attendance history holds up as evidence. You can answer 'who collected this child on the 14th, and at what time?' in seconds rather than by digging through a folder.
Attendance that feeds the rest of the system
Attendance isn't a silo. Catering charges are calculated from the days a child was actually present, so an absence a parent reported in the morning flows through to the end-of-month invoice without anyone re-keying it. Reporting, billing, and the daily record all read from the same source.
Frequently asked questions
Does KinderConnect support QR code or kiosk check-in?
Not today, and that is a deliberate choice rather than a missing feature. Attendance is recorded by staff, because the handover at the door is the one moment each day when an educator and a parent speak directly. If we add a scan-based option later it will be an additional path, never a replacement.
Can parents report an absence from their phone?
Yes. Parents report an absence with a reason and category before the day starts, and staff see it immediately on the day view. The same record also feeds catering billing, so a reported absence reduces the month's meal charge automatically.
Can I edit an attendance record after the fact?
Yes — mistakes happen, and a system that cannot correct them just produces wrong data. Changes are written to the organisation's audit log with the actor and timestamp, so the correction is visible rather than silent.
Can I export attendance data?
Yes. Attendance exports as CSV for any period from the reports screen, for payroll, subsidy reporting, or your own records. No support request and no waiting.
Does it record who collected the child?
Yes. Each child has a list of authorised guardians, and the checkout records which one collected them, alongside the time and the staff member who released them — a custody trail a paper signature sheet cannot produce.
Does it track staff attendance too?
Staff check-in and check-out are recorded. A full timecard workflow with approvals, scheduling, and an hours report is on the roadmap rather than shipped.
Does it monitor staff-to-child ratios?
Not currently. There is no room capacity or ratio model today, so no automatic alert when a room goes out of ratio. It is one of the clearer gaps against the US platforms and is on the roadmap.
Can I see who is present right now?
Yes. The staff day view shows the current state of each group, and the admin absence view lists who is out and why.
Is attendance used for billing?
Catering charges are calculated from days present. Hour-based tuition billing — charging for time beyond a core programme, for instance — is not built.
What if a child moves between rooms during the day?
Children belong to one group, and mid-day room transfers are not modelled. If you run rotating or mixed rooms, this is worth checking against how you operate before committing.
Is attendance available offline?
The app is a progressive web app that keeps working when the connection drops and tells you when you are offline — which matters at an entrance far from the router.
